Last Updated: September 2026
ToucanTech is one of the best-reviewed alumni platforms on the market, and the reasons people shop around are narrow and practical rather than structural. The two that come up most: recurring gifts have to be logged by hand every month, and the price is impossible to find without booking a demo. The pricing page on toucantech.com returns a 404, and the roughly $8,000 a year figure exists only on third-party listings. If either of those has slowed your evaluation, there are credible alternatives to ToucanTech for schools, universities and alumni offices of every size.
This guide ranks eight platforms. Raklet is listed first because this is our page. The other seven are ordered on independent merit using pricing transparency, ownership stability, product cadence, and alumni engagement feature depth.
Key Takeaways
- Reviewers report that ToucanTech does not automate recurring donations. Monthly gifts are entered manually, which is real, repeating labour for any office running a regular giving programme.
- The price is not published. The pricing page returns a 404 and the roughly $8,000 a year entry point appears only on Capterra and GetApp listings. Every buyer has to book a demo to confirm it.
- Best for published pricing and a free plan: Raklet. Plans start at $49 a month, and the free plan for 100 contacts is permanent.
- Best for higher-ed alumni engagement at scale: Almabase for giving days and advancement, Gravyty for mentoring and career networking.
- Ask about recurring gift automation in the demo. It is the gap ToucanTech users report most often, and the answer decides whether the platform saves your team time or adds to its month-end list.
- The fastest way to choose: scan the comparison table below for ownership, starting price, support and contract terms side by side.
Why Organizations Look for ToucanTech Alternatives
Be clear about what ToucanTech gets right. It holds a 4.9 out of 5 rating across 151 reviews on Capterra, with customer service scored at 4.9 and value for money at 4.8. It serves more than 400 organizations, according to its own homepage, combines a CRM, website builder, email and fundraising in one system, and includes a named account manager with every subscription. Reviewers who moved from Raiser’s Edge NXT or Hivebrite describe it as the more affordable, easier option.
The reasons buyers still look elsewhere are specific and operational.
1. Recurring donations are logged manually.
This is the sharpest complaint on the page. Donors who give monthly do not have their gifts recorded automatically. One Capterra reviewer put it plainly: “Each of these donations have to be added manually each month. It would be really helpful if this happened automatically.” For an alumni office running a regular giving programme, that is a recurring administrative job the platform was supposed to remove.
2. Pricing is not public.
The pricing page on toucantech.com returns a 404. The starting figure of roughly $8,000 a year is confirmed only through Capterra and GetApp listings, not by the vendor. Actual pricing is quoted per organization, there is no free version, and a demo is required before anyone will tell you a number.
3. Reporting is limited for data-heavy teams.
The reporting interface is repeatedly described as unintuitive. One reviewer noted that “the reporting functions aren’t the most user-friendly,” and an independent AMS analyst flagged more limited reporting for data-heavy organizations and less depth in financial workflows. Improvements were reported to be under way in late 2024.
4. Integration gaps with school systems and payment providers.
Reviewers cite friction importing from school MIS platforms such as Wonde and PASS, where records need manual amendment after import. Integration between third-party payment providers and customer records is described as “a little problematic.”
5. A learning curve on advanced features, and constrained design tools.
Advanced filters and complex mailing lists take time to master. Form functionality and newsletter design are described as limited, with the newsletter builder called “clunky” by at least one reviewer.
6. Data hosting questions for international organizations.
Organizations outside the UK and US have raised data residency concerns. As one reviewer put it, “different countries have different data privacy standards.”
There is a seventh reason that does not appear in reviews, because the people it affects never become customers. ToucanTech is built for education, full stop. A consultant evaluating alumni platforms for an international school told us, the morning after a ToucanTech demo:
“They’re like a school focused alumni system. So basically they don’t work in the club scene or anything like that, or in corporate. So their focus is just education.”
Consultant evaluating alumni platforms for an international school (verbatim, Raklet sales call, 2026)
If your alumni programme also needs to serve a club, a professional network, a corporate alumni group or any community that is not a school, that focus becomes a constraint rather than a strength.
What to Look for in a ToucanTech Alternative
Each criterion below answers a specific gap named above.
Recurring gift automation. This answers the manual monthly logging gap. Ask the vendor to show a monthly donor being set up once and then charged, recorded and receipted without staff involvement. If the demo cannot show it, assume you will be doing it by hand.
Published pricing before a sales call. This answers the 404 pricing page and the demo gate. A vendor that publishes rates lets you disqualify it in ninety seconds and build a budget case without two discovery calls.
Reporting depth for data-heavy teams. This answers the documented analytics limits. Check whether growth, churn and engagement trends are visible inside the platform, and whether you can filter and export on your own custom fields rather than a fixed set of reports.
Integrations with your school MIS and payment provider. This answers the Wonde and PASS complaints. Confirm the specific systems you run today are supported natively or through a documented API, and ask how imported records are reconciled when the source data changes.
Where your data is hosted. This answers the concern raised by non-UK and non-US organizations. Ask for the hosting region, the data processing terms, and whether the vendor already serves organizations in your jurisdiction.
The Best ToucanTech Alternatives
How we evaluated these alternatives
We ranked these platforms on four dimensions: pricing transparency, ownership stability, product cadence, and alumni engagement feature depth. Our sources were Raklet sales-call transcripts, public G2 and Capterra reviews, and each platform’s own documentation and pricing pages. Pricing comes from published pricing pages where a vendor publishes one. Where a vendor does not, we show third-party estimate ranges from review-site aggregators, Raklet sales-call transcripts, and verified customer reports, clearly labeled as estimates, and we say “quote only” when no sourced figure exists. Raklet is one of the alternatives and we list ourselves first because this is our page. The other seven are ordered on independent merit.
1. Raklet
Founded 2013 · Privately held · 10+ employees
Raklet is a community and membership platform with the alumni features most programmes use day to day: a searchable member directory with custom profile fields, event ticketing with QR check-in, donation and dues collection with native refund processing, built-in email campaigns with open and click tracking, discussion boards, a job board, and a free native iOS and Android app for members. It serves school and university alumni networks, professional associations, nonprofits and corporate alumni programmes alike, which is the direct answer to the education-only constraint above.
The practical difference against ToucanTech is how the evaluation starts. Raklet publishes its prices, so you can size the cost in a minute rather than after a demo. The free plan is permanent rather than a countdown trial, so an alumni officer can build a real directory and invite a test cohort before involving procurement. Growth and churn reporting is built in, and the Professional tier adds integrations, automated reminder emails and event check-ins. API access, single sign-on, a custom domain and role-based permissions arrive on the Premium tier.
Raklet is not a like-for-like replacement for every ToucanTech deployment. ToucanTech bundles a template-based website builder and a named account manager into every subscription; Raklet’s page builder is code-based and phone and video support is a paid add-on. If a drag-and-drop school website is part of the brief, weigh that honestly.
Pricing: Permanent free plan for 100 contacts, no credit card required. Essentials $49/month, Professional $99/month, Premium $399/month, billed annually. Pricing scales by contacts and features, and add-on contact packs let you expand without a full tier upgrade. Raklet charges a platform transaction fee that varies by plan, on top of standard payment processor fees. See Raklet pricing for current rates.
Best for: Alumni and membership organizations that want published pricing, a permanent free plan, and one platform that also serves clubs, associations and corporate alumni groups.
Not ideal for: Schools that need a template-based website builder and a dedicated account manager bundled into the licence.
For a direct feature-by-feature breakdown, see ToucanTech vs Raklet.
2. Almabase
Private · VC-backed (Upekkha, 500 Global) · about 110 employees
Almabase is built specifically for higher-education advancement, and it competes with ToucanTech on exactly the ground where ToucanTech is weakest: the giving side. Its strength is giving day campaigns with peer-to-peer mechanics, donor journeys, event management, and deep integrations with advancement systems of record including Blackbaud Raiser’s Edge NXT, Salesforce and Ellucian. Emily AI, an email drafting assistant, is built into its email centre.
It carries a large and current review base, at 4.7 out of 5 across 144 reviews on Capterra and 4.6 across 111 on G2, with customer support consistently top-rated. Like ToucanTech, it does not publish pricing and has no free plan, so the demo gate remains. It is a stronger fit for universities and colleges than for independent schools, where its fundraising-centric feature set can outrun the need.
Pricing: No public pricing page. Quote only. Third-party mentions place the low end around $6,000 to $7,000 per year, with larger institutions paying considerably more. Treat these as estimates.
Best for: Universities and colleges running giving days and advancement campaigns alongside an alumni community.
Not ideal for: Small schools or alumni offices that mainly need a directory, events and email rather than a fundraising engine.
See also Almabase alternatives.
3. Gravyty (formerly Graduway)
PE-owned by K1 Investment Management · merged with Gravyty in December 2021 · about 240 employees (Gravyty group)
Graduway merged with Gravyty in December 2021 and now sells under the Gravyty name, with the alumni product reporting more than 2,750 institutions on its product page. The platform’s centre of gravity is alumni mentoring and career networking: mentor matching, alumni-to-student career conversations, job boards and community groups, with deep Blackbaud and Salesforce integrations.
That focus makes Gravyty the right shortlist entry if career outcomes rather than fundraising are the reason you are buying. Review scores are solid but below ToucanTech’s, at 4.4 out of 5 across 133 reviews on Capterra, and reviewers flag high annual fees and undisclosed upsells after signing. Note the ownership context: K1 is a private equity owner, and consolidated portfolios can bring roadmap and pricing changes over a contract term. Ask directly about renewal terms.
Pricing: Quote only. Third-party estimates span roughly $5,000 to $100,000 per year depending on institution size, with implementation, migration and SMS credits typically charged separately. No free trial.
Best for: Institutions where alumni mentoring and career networking are the primary programme goals.
Not ideal for: Buyers who want pricing certainty, or who are wary of PE-owned roadmaps.
See also Graduway alternatives.
4. EverTrue
Private · PE-backed (Rubicon Technology Partners, 2021) · about 325 employees
EverTrue is an advancement platform rather than a community platform, and that distinction matters. It focuses on donor intelligence, prospect research, gift officer productivity and donor engagement video, and it reports more than 1,500 higher-education institutions as customers on its company page. If your alumni office is measured on major gifts and pipeline, EverTrue is aimed at your metrics in a way ToucanTech’s community-first design is not. It is built for the advancement team’s side of the desk rather than the alumni-facing side: it does not position itself as an alumni directory or community portal, so most offices run it alongside a community platform rather than instead of one.
It is well reviewed, at 4.8 out of 5 across 63 reviews on Capterra and 4.6 across 244 on G2. The ownership picture is worth understanding: Rubicon Technology Partners took a majority stake in 2021, EverTrue merged with ThankView the same year, and it has since acquired Fundriver, Pledgemine and Solas Group. An acquisitive PE-backed roadmap can be a strength or a risk depending on how much you rely on any single module.
Pricing: Quote only. EverTrue has no public pricing page and no free plan, and we found no third-party estimate we could verify, so budget for it as an advancement-suite purchase rather than a ToucanTech-level flat fee.
Best for: Advancement offices focused on major gift fundraising, donor intelligence and gift officer workflows.
Not ideal for: Alumni teams that mainly need a member directory, events and community features rather than fundraising intelligence.
5. Hivebrite
Private · VC-backed (Insight Partners, Quadrille Capital, 2023) · about 140 employees
Hivebrite powers large branded alumni and member communities with a heavily customizable portal, groups, event management, fundraising modules and a mobile experience. It is also a platform ToucanTech reviewers report switching away from, citing cost and ticketing. That tells you where each product sits: Hivebrite is the bigger, more configurable, more expensive option.
It raised a $37 million Series B from Insight Partners and Quadrille Capital in October 2023 and acquired Orbiit in 2024, which now powers an AI member matching engine. Reviews are broad and current, at 4.5 out of 5 across 71 on Capterra and 4.4 across 203 on G2. Like ToucanTech, pricing is contact-sales only with no free tier, and a 1.5% commission on paid memberships is reported on lower tiers.
Pricing: No public pricing page. Third-party sources place the entry Connect plan at approximately $799 per month, around $9,600 per year, with Scale and Enterprise tiers custom-quoted. Treat these as estimates.
Best for: Large branded alumni and member communities that want deep customization and have five-figure budget.
Not ideal for: Small schools or alumni offices, or any team that needs to see a price before booking a call.
6. 360Alumni
Private · bootstrapped · about 10 employees
360Alumni is a compact alumni community platform covering directory, groups, events, fundraising and email, run by a small independent team out of Stamford, Connecticut. Its size is the point: a smaller team means a smaller price tag than the enterprise incumbents, and it suits alumni offices that need a working community rather than a configurable enterprise platform. It holds a 4.6 out of 5 rating across 27 reviews on Capterra.
Read the commercial model carefully before committing. Pricing is a one-time setup fee plus an annual subscription scaled by record count, and 360Alumni layers a 3% credit card processing fee plus a per-event service charge on ticket, donation and membership payments. Licensing is annual only, and there are no AI features. For a programme processing meaningful payment volume, model those transaction costs into the total alongside the licence.
Pricing: Quote only. Third-party listings suggest an entry point around $3,500 per year, which the vendor has not confirmed. Setup fee plus annual subscription by record count, with unlimited admin seats and a 3% card processing fee on payments.
Best for: Small alumni offices working to a tight budget that want unlimited admin users.
Not ideal for: Programmes with high payment volume, where the transaction fees compound quickly.

7. Blackbaud Raiser’s Edge NXT
Public (NASDAQ: BLKB) · about 2,800 employees
Raiser’s Edge NXT is the market-leading nonprofit CRM and the system many ToucanTech customers moved off. It belongs on this list for the opposite reason to most entries. It is the platform an advancement shop graduates to, not away from, when it needs enterprise-grade donor management, prospect insights, event and membership modules, and a partner ecosystem built on Blackbaud’s SKY API.
Its scale shows in the review volume: 4.2 out of 5 across 418 reviews on Capterra, the largest corpus of any platform here. It also shows in Blackbaud’s 2026 AI investment. Development Agent, for autonomous donor engagement workflows, and Chat for Blackbaud AI are both generally available in the US. The consistent complaints are cost, complexity, long support wait times and CSM turnover, which is precisely what pushes smaller offices toward ToucanTech in the first place.
Pricing: Quote only. Blackbaud does not publish rates. Third-party references put the smallest configurations near $5,000 to $8,000 per year, with mid-market deployments considerably higher once modules such as Prospect Insights and Event Management Pro are added. Treat these as unconfirmed estimates.
Best for: Established advancement shops that need enterprise donor management and can staff an implementation.
Not ideal for: Small schools and alumni offices, which tend to find it expensive and heavy for a directory-and-events use case.

8. Ellucian CRM Advance
Private · PE-backed (Blackstone and Vista Equity Partners, 2021) · about 4,250 employees
Ellucian CRM Advance is the advancement CRM inside the Ellucian higher-education suite, built on Microsoft Dynamics 365. Ellucian reports roughly 3,000 customers across more than 50 countries on its about page, and it is the largest vendor on this list by a wide margin. The product is designed for universities that already run Ellucian’s student systems such as Banner or Colleague and want advancement data in the same ecosystem.
That is also its limit as a ToucanTech alternative. It is an enterprise procurement with enterprise implementation timelines, and public review coverage for CRM Advance specifically is thin. Ownership passed from TPG and Leonard Green to Blackstone and Vista Equity Partners in September 2021, so it has been through two private equity cycles. For a large research university, that stability at scale is reassuring. For an independent school, it is the wrong size of tool.
Pricing: Quote only. Enterprise licensing with no public pricing page and no free plan.
Best for: Large universities already on Ellucian’s ERP that want advancement in the same platform.
Not ideal for: Independent schools, small colleges, or any alumni office without an enterprise IT function behind it.

Which ToucanTech Alternative Is Right for You?
If you are in higher education, the split is by programme goal. Almabase is built for advancement and giving days. Gravyty is built for mentoring and career networking. Ellucian CRM Advance is the answer only if you already run Ellucian’s student systems and want advancement in the same ecosystem.
If fundraising is the job, split it by gift type. Almabase covers the giving-day and annual-fund side. EverTrue and Blackbaud Raiser’s Edge NXT are the two platforms on this list designed around major gifts, donor intelligence and gift officer pipelines. Both are quote-only and both are heavier than ToucanTech, so they make sense for offices that are outgrowing ToucanTech rather than looking for a lighter option.
If you run a large branded community with real budget, Hivebrite is the closest match to ToucanTech’s all-in-one portal at greater scale. If you are a small school or alumni office working to a tight budget, 360Alumni is sized for you. Raklet is the option that lets you see the price, start on a permanent free plan, and test a real directory before any conversation about budget. Raklet is also the only platform here that serves clubs, associations and corporate alumni groups alongside schools, which matters if your programme is not education-only. For international schools outside the UK and US, the segment the consultant quoted above was buying for, Raklet is not a North America-only product. By Raklet’s own customer data, roughly half of its customers are outside the US, spread across 50+ countries.
Raklet gives alumni teams a published price, a permanent free plan for 100 contacts, and a directory you can build today without a sales call.
Frequently Asked Questions
What is the best ToucanTech alternative?
It depends on what you are buying for. For higher-education advancement and giving days, Almabase is the strongest fit. For alumni mentoring and career networking, Gravyty leads. For major gift fundraising, EverTrue and Raiser’s Edge NXT are built for that job. Raklet is the best choice for organizations that want published pricing, a permanent free plan, and one platform that also serves clubs, associations and corporate alumni programmes.
How much does ToucanTech cost?
ToucanTech does not publish pricing. The pricing page on toucantech.com returns a 404, and the only public figure is a starting point of roughly $8,000 per year listed on Capterra and GetApp. Actual pricing is quoted per organization and varies by size, there is no free version, and a demo is required before the vendor will confirm a number. Treat the $8,000 figure as a third-party estimate rather than a quoted price.
Is there a free ToucanTech alternative?
Yes. Raklet offers a permanent free plan for up to 100 contacts with no credit card required, which covers a small alumni directory, member profiles, events and community boards. It is a free plan rather than a time-limited trial, so you can run a real alumni group on it indefinitely and upgrade only when you outgrow the contact limit or need paid-tier features such as the email designer or integrations.
Does ToucanTech automate recurring donations?
Not according to its users. Capterra reviewers report that monthly gifts have to be added manually each month, and one asked directly for this to happen automatically. If recurring giving is central to your programme, ask ToucanTech to demonstrate a monthly donor being set up once and then charged and recorded without staff involvement, and compare that with how Raklet, Almabase or Raiser’s Edge NXT handle the same workflow.
What is the cheapest ToucanTech alternative?
Raklet is the cheapest option with published pricing, starting free and moving to $49 per month on Essentials, which works out well below ToucanTech’s roughly $8,000 a year entry point at most record counts. Among quote-only vendors, 360Alumni generally sits at the lower end, though it does not publish rates and adds a 3% card processing fee plus per-event service charges on payments, so model transaction costs as well as the licence.
How long does it take to migrate off ToucanTech?
Plan for four to twelve weeks depending on data volume and integration count. The main variables are exporting alumni records with custom fields, donation history and event attendance intact, rebuilding any MIS or payment provider connections on the new platform, and communicating the change to alumni. Request a full data export in a documented format early, and confirm your contract’s notice period before committing to a switch date.
The Bottom Line on ToucanTech Alternatives
ToucanTech is a well-built, well-liked platform for schools and universities, and most of its users are not leaving. The buyers who look elsewhere are the ones who cannot get a price without a demo, cannot get recurring gifts logged without a staff member, or need a platform that works beyond education.
Almabase and Gravyty own the higher-education use cases, and EverTrue and Raiser’s Edge NXT own major gift fundraising. Raklet is where to start if you want a published price, a permanent free plan, and a platform that serves clubs and corporate alumni groups as comfortably as schools. Whichever you shortlist, ask the recurring donation question in the first demo. The answer tells you quickly whether the platform will save your team time or add to its month-end list.
